Sharing & Access Control

Tourlyx supports multiple users per tournament through role-based access control. Add co-organizers, scorers, or read-only viewers without sharing your login credentials. The number of collaborators you can invite depends on your plan.

Tournament Member Roles

Field / Option Description
Owner Full access: edit all tournament data, manage members, invite others, and delete the tournament. There is exactly one Owner per tournament — the account that created it.
Editor Can enter scores, manage pairings, update golfer records, and edit tournament details. Cannot manage members or delete the tournament.
Viewer Read-only access to the leaderboard, financial summary, and pairings. Cannot make any changes.

Collaboration Seat Limits by Plan

Inviting collaborators is a plan-gated feature. Your plan determines how many Editor and Viewer seats are available per tournament. The invited person does not need their own paid subscription — they access the tournament through your invitation.

Note: Seat limits are per tournament, not per account. A Starter subscriber running three different tournaments can invite one Editor into each of those three tournaments.

How Invitations Work

When you send an invitation, Tourlyx emails the recipient a secure link. Clicking the link creates a free Tourlyx account for them (if they don’t already have one) and grants immediate access to your tournament at the role you selected. They do not need to purchase a subscription.

  1. Click Members in the tournament navigation.
  2. Click Invite Member (upper right). The button is disabled if your plan has no available seats.
  3. Enter the person’s email address.
  4. Select a role — Editor or Viewer. Role cards are grayed out with a lock icon if that role’s seats are full.
  5. Click Send Invitation. The recipient receives an email with a sign-in link.
  6. Their entry appears in your Members list immediately as Pending (yellow dot) until they click the link.
  7. Once they sign in, their status changes to Active (green dot).

Seat Usage Display

The Members page header shows live seat usage beneath the title — for example, “Editors: 1 / 1” or “Viewers: 0 used”. Counts turn amber when a seat type is full. Free and Trial plan owners see an upgrade prompt instead of seat counts, since collaboration is not available on those plans.

Changing or Removing a Member

  • Only the tournament Owner can manage (change or remove) members.
  • Use the role dropdown on a member’s card to switch them between Editor and Viewer.
  • Click the trash icon to remove a member. This frees up their seat immediately.
Tip: Need more seats? Upgrade your plan at any time from the sidebar badge or Pricing page. The new seat allowance takes effect immediately — no need to re-invite anyone.
